Authors and Presenters

Important Dates:

  • 29 August 2024 - abstracts submission deadline
  • Late October 2024 - accepted authors are notified
  • 14 November 2024 - deadline for edits to title and author list
  • 4 December 2024 - deadline to register at the early rate
  • 19 December 2024 - deadline to confirm presentation location
  • 7 January 2025 - virtual poster presentations are made during the Virtual Poster Slam
  • 12 - 16 January 2025 - presentations are made during the 105th Annual Meeting
  • 13 February 2025- supplementary information upload deadline
  • View the Call for Papers for the Conferences and Symposia that will take place during the Annual Meeting.
  • Abstract submissions are limited to 1000 words.
  • Some program chairpersons may limit the number of oral presentations per speaker within the same program.
  • The same presentation cannot be given as both an oral and poster within the same conference.
  • There is no limit to the number of co-authors a submitter can include in their abstract.
  • Please submit an abstract only if you intend to attend and present your abstract at the 105th Annual Meeting.
  • Pay the abstract submission fee.*
  • View a list of entries/submissions, such as topics or abstracts, you have submitted OR on which you are the presenting author in the User Portal.
  • Make changes to the title and author list in Presenter’s Corner until 14 November.
  • Withdraw your abstract using Presenter’s Corner.
  • Upload supplementary information for your abstract in Presenter’s Corner before or after your presentation (Extended Abstract (.pdf), Slides/Handout (.pdf), Poster Image (.pdf), Supplementary URL).  Allow 24 hours for additions to be reflected in the online program.

*Abstract Submission Fee

The abstract submission fee of $120 per submission (payable by credit card) is due at the time of abstract submission. It is refundable only if your abstract is not accepted and will not be refunded in the event of withdrawal. Abstracts whose fees are not paid within two weeks of the abstract submission deadline will not be presented—they will be deleted from both the conference agenda and online program. 

What's Included in the Abstract Fee?

Your fee includes your abstract, supplementary materials (optional), and your recorded oral presentation (recorded at the session level) posted to the online program which is available to all conference attendees exclusively for three (3) months before being made available to the Community for free.

Withdrawn Papers

Withdrawn papers will still be accessible on the conference online program and authors will still be able to upload supplementary materials such as extended abstracts, PDFs of presentations and/or poster images as well as links to other websites. Abstracts should be withdrawn if the presenting author is unable to present or identify a replacement presenting author. Abstracts can be withdrawn using Presenter’s Corner.
