  • AMS is committed to safe and inclusive meetings for all attendees.
  • Harassment, intimidation, or discrimination of any kind will not be tolerated at any meeting or event associated with the meeting.
  • All communication should be appropriate for a professional audience including people of many different backgrounds. Be inclusive and respectful.
  • The recording or transmissions of any education sessions, presentations, demos, videos, or content in any format is strictly prohibited.
  • Participants should not copy or take screenshots of Q&A or any chat room activity that takes place in the virtual space.
  • This statement is meant to cover all meeting-associated events, including those sponsored by organizations other than AMS but held in relation to AMS events.  This includes the scientific program, short courses, and exhibitions, as well as receptions, town hall meetings, and other informal or formal gatherings associated with AMS. Similarly, participants shall adhere to this code of conduct in online spaces related to the meeting and meeting-associated events, including Facebook, Twitter, and other online venues.
  • Those who violate the standards of professional and respectful conduct may be asked to leave the meeting immediately and without refund, may not be considered for service on AMS boards and committees, and may be subject to additional legal action.
  • Harassment, intimidation, or discrimination includes offensive comments and actions related to age, gender and gender identity, sexual orientation, disability, physical appearance, body size, race, religion; sexual images in public spaces; deliberate intimidation, stalking, or following; harassing photography or recording; sustained disruption of talks or other events; inappropriate physical contact; and unwelcome sexual attention.

 By registering for and attending in-person at the American Meteorological Society's 105th Annual Meeting, I agree to abide by all health and safety guidelines and recommendations established by federal, state and local government agencies and officials, the American Meteorological Society (AMS) and the event venues, including but not limited to the meeting hotel. This includes, but is not limited to, adhering to any requirements and restrictions during the event established by AMS and hotel venues. These requirements and restrictions are subject to change and will be outlined in the 105th Annual Meeting’s Commitment to Care Policy. 

I further agree that I will not attend the meeting in person if I become ill during the meeting or exhibit any symptoms of illness to the event. I understand that if I do not comply with the above, this action is considered a violation of the Code of Conduct at AMS Meetings and I may be asked to leave the event immediately and without refund of registration and abstract submission fees, be denied further access to the in person and/or virtual elements, may not be considered for service on AMS boards and committees, and may be subject to additional legal action.

Additionally, I understand that travel to and participation in events may increase the risk of exposure to illness and other communicable diseases.

Virtual attendees will not need to abide by these requirements and restrictions but are asked to agree here in the event that you take advantage of the opportunity to change your registration to in-person.

Code of Conduct at AMS Meetings

By completing my registration, I agree that I have read and confirm that I will abide by the Professional and Respectful Conduct at AMS Meetings Policy. I understand that if I violate this policy, I may be asked to leave the event immediately and without refund, be denied further access to the virtual elements, may not be considered for service on AMS boards and committees, and may be subject to additional legal action.

Photo Release

From time-to-time AMS uses photographs of conference events in its promotional materials. Unless this permission is revoked in writing to AMS, by virtue of their attendance all conference visitors agree to the use of their likeness in such materials.

  • Please note that all payments must be made in full in order to attend this meeting. All unpaid registrations will be canceled if payment is not received by 17 December 2024 at 5:00 PM Eastern. From 17 December 2024 at 5:01 PM through the end of the meeting, payment for registrations will be accepted by credit card only and must be completed online by the attendee using their AMS login. No exceptions will be granted.
  • Everyone presenting (both oral and poster) and/or attending the 105th AMS Annual Meeting must register. 
  • By registering for the AMS Annual Meeting, you are agreeing to adhere to the Professional and Respectful Conduct at AMS Meetings Policy and AMS Commitment to Care Policy and Waiver.
  • Cancellation policy: Those registered may cancel their registration up until and through 17 December at 5:00 PM Eastern. Refunds (less a $50 processing fee) will be granted. Please email [email protected] to request the cancellation. After 17 December at 5:01 PM Eastern, no refunds will be granted for canceled registrations. 
  • Early registration rates are valid through Wednesday, 4 December 2024 at 5:00 PM Eastern. 
  • Photo Release:  From time-to-time AMS uses photographs of conference events in its promotional materials. Unless this permission is revoked in writing to AMS, by virtue of their attendance all conference visitors agree to the use of their likeness in such materials.
  • Statement on Open Meetings: All meetings of AMS committees, boards, and the Council are, in principle, open to members of the Society, although portions of some meetings may be held in executive session when dealing with personnel issues, awards, or other matters of confidential nature. As a matter of courtesy and to ensure adequately sized meeting rooms, members wishing to observe a particular committee, board, or Council meeting should contact its chairperson in advance. Members may request a place on the agenda by following a similar procedure. Please feel free to contact AMS Headquarters for assistance.
  • Attendee Lists: AMS will make attendee lists available to any registered attendee. Attendees who do not want their name and address information included on the list must note this at the time of their registration. Please send an email ([email protected]) to request a copy of the attendee list after the meeting. The list will only be delivered in an electronic format and will contain names, addresses, and affiliations (if provided). No phone numbers or email addresses will be provided.
  • Abstract Fee:  Please note that the abstract fee of $120 is refundable only if the abstract is NOT accepted.  The abstract fee is separate from the registration fee. 
  • Child Care Grants: The American Meteorological Society is offering childcare grants of up to $400 per family to assist conference attendees who will incur additional expenses by attending the Annual Meeting. Limited funds are available, and preference is given to applicants in the early stages of their career.  As a secondary criterion, preference will be given to applicants who explain clearly why a grant to support childcare, dependent care or their own assistance is necessary.  To apply, please fill in the form by November 8th.

  • Guests Badges: If you are attending in person, you may bring up to two guests to the event.  Guests will not be able to join you for sessions but may join you for functions to which all attendees are invited, such as exhibits, poster viewings, and coffee breaks.  There is a $50 fee for each guest badge.  Please note: To have your guest(s) join you for food functions, you will need to purchase additional ticket(s). Guest badges are not available if you are attending remotely.
  • Please note that an individual must have a 2025 AMS membership to receive a Member registration rate. 
  • No on-site registration will be available for hybrid attendance. Hybrid attendance must be completed in advance. 

Abstract Submission Fee

The abstract submission fee of $120 per submission (payable by credit card) is due at the time of abstract submission. It is refundable only if your abstract is not accepted and will not be refunded in the event of withdrawal. Abstracts whose fees are not paid within two weeks of the abstract submission deadline will not be presented—they will be deleted from both the conference agenda and online program. 

Your fee includes your abstract, supplementary materials (optional), and your recorded oral presentation (recorded at the session level) posted to the online program which is available to all conference attendees exclusively for three (3) months before being made available to the Community for free.

Withdrawn Papers

Withdrawn papers will still be accessible on the conference online program and authors will still be able to upload supplementary materials such as extended abstracts, PDFs of presentations and/or poster images as well as links to other websites. Abstracts should be withdrawn if the presenting author is unable to present or identify a replacement presenting author. Abstracts can be withdrawn using Presenter’s Corner.

Recordings

In an attempt to expand the audience for presentations and to provide a more complete and permanent record of the authors’ remarks, presentation recordings will be made available in the online program and mobile app (48 hours after your session ends). Copyright of recorded presentations remains with the author(s). Permission to use figures, tables, and brief excerpts from presentations is granted provided that the source is acknowledged. Any use of material in presentations that is determined to be "fair use" under § 107 of the U.S. Copyright Act or that satisfies the conditions specified in § 108 of the U.S. Copyright Act (17 USC § 108, as revised by P.L. 94-553) does not require the permission. Republication, systematic reproduction, password sharing, posting in the electronic form on other servers, or other uses of this material, excepted by the above statement, requires written permission or a license from the author(s).
