Information for International Attendees

If you’re traveling internationally for the Annual Meeting, plan ahead and stay informed about what to expect when crossing borders, going through customs, or interacting with federal officials at an airport or land border. The guidance below is general and intended to help you prepare. Before you travel, consider these steps: • Review entry/exit requirements and relevant travel laws for both the United States and the country you’re traveling from and/or returning to.
• Bring original, physical versions of required travel documents, plus multiple printed copies.
• Carry documentation confirming your Annual Meeting affiliation and role (e.g., meeting invitation/confirmation, badge details, or employer/university documentation).
• Save the contact information for your country’s consulate in the United States in case you need assistance while traveling.
Depending on your citizenship status, you may be asked to present your phone or other electronic devices during border processing. We recommend keeping originals and printed copies of key travel materials readily accessible, such as: passport, green card, visa, invitation letter (from the meeting and/or your institution), business cards, employment ID, hotel confirmation, meeting registration confirmation, and receipts. Q1: What documents do I need to enter the U.S. for the Annual Meeting?
A: You must carry:

  • A valid passport (with at least 6 months’ validity).
     
  • A valid visa (e.g., B-1/B-2, F-1, J-1, H-1B), or ESTA authorization if you're from a Visa Waiver Program country.
     
  • Your meeting invitation letter (if needed)* and registration confirmation.
     
  • Proof of accommodations, return travel, and (if applicable) employer/university sponsorship.

*Email meetings@ametsoc.org to request a letter of invitation once you've registered or received your abstract acceptance notification, or if you need an invitation earlier.


Q2: Are there new visa-related fees I should be aware of?
A: Yes. As of July 2025, the U.S. has implemented or increased some visa-related fees:

Q3: How long should I allow for visa processing?
A: Apply as early as possible. Interview wait times and processing delays are common. We recommend applying 3–6 months before the meeting.


Q4: Should I carry my immigration documents with me during the Annual Meeting?
A: Yes. We recommend carrying:

  • A photocopy of your passport and visa.
     
  • Your I-94 or proof of legal entry (printed or digital).
     
  • A copy of your meeting registration or badge.
     
  • A card listing your emergency contacts, local consulate, and legal aid.
