What to Expect

Before the meeting

  • Check the online program to confirm your presentation date and time
  •  Let everyone know that you’ll be presenting on Twitter. Include the #AMS2024 hashtag and @ametsoc handle.
  • Register at the In-Person Presenter Rate
  • Visit Presenter's Corner to manage your abstract:

    • Confirm/Change Presentation Method: Virtual/In-Person (by 15 November)
    • Check/Change Abstract Title (by 8 November)
    • Check/Change Author Listing (by 8 November)
    • Upload Presentation File: Slides (at least 24 hours before your session)
      • Read the presentation checklist to make sure your presentation file is ready to be uploaded.

      • Presentations 200MB and over must be uploaded from the Speaker Ready Room in Baltimore.

    • Upload Optional Supplementary Information (by 1 March) 

      • PDF File 

      • Extended Abstract 

        • Extended Abstract Guidelines:

        • There is a 100 MB file size limit.

        • The following file types may be uploaded: PDF document (*.pdf).

      • Supplementary URL 

    • Withdraw Abstract

  • Read In-Person Oral Presenter emails sent from the AMS Meetings Department for more information on managing your abstract online and giving your presentation.
  • Look for an email notification that a question has been asked about your abstract via asynchronous chat feature in the online program and mobile app. Be sure to respond to get a discussion going!

During the meeting

  • Visit the Speaker Ready Room (331 at the Baltimore Convention Center) to upload your Presentation File if you have not already done so in Presenter’s Corner.

  • Arrive at the session room before scheduled session time and introduce yourself to the session chair and student volunteer (at the front of the room).
  • The standard session room set includes the following:
    • One lectern
    • One screen of appropriate size
    • One data/video projector
    • One AMS-supplied PC laptop
    • One digital timer
    • One podium microphone
    • One audience microphone
  • Present your Presentation File that we preloaded onto the AMS-supplied PC laptop from the lectern during your scheduled presentation time
  • Field questions asked by in-person and remote attendees and/or participate in discussion if time allows

After the meeting

  • Look for an email notification that a question has been asked about your abstract via asynchronous chat feature in the online program and mobile app. Be sure to respond to keep the discussion going!
  • Watch your presentation recording in the online program and mobile app (72 hours after your session ends
  • By agreeing to present at an AMS Meeting, you are agreeing to have your presentation/session recorded and posted in the conference program for public viewing.
  • Copyright of recorded presentations remains with the author(s). Permission to use figures, tables, and brief excerpts from presentations is granted provided that the source is acknowledged. Any use of material in presentations that is determined to be "fair use" under § 107 of the U.S. Copyright Act or that satisfies the conditions specified in § 108 of the U.S. Copyright Act (17 USC § 108, as revised by P.L. 94-553) does not require the permission. Republication, systematic reproduction, password sharing, posting in the electronic form on other servers, or other uses of this material, excepted by the above statement, requires written permission or a license from the author(s).

Tips for Your In-Person Oral Presentation

Dos:

  • Make sure everyone can read your slides—the presentation often has to be viewed from 60 or 70 feet from the screen.
    • Use large sans serif font.
    • Make backgrounds simple and dark.
    • Keep copy bright and text short and crisp.
    • Use heavy line thickness for graphics.
    • Keep diagrams simple and use just a few animations.
    • Select only key parts of an equation to illustrate a point.
    • Show information piece by piece—build to the conclusion.
  • Plan for one minute for each slide of your talk.
  • Remember to speak slowly, loudly and clearly during your presentation.
  • Use the microphone at all times.
  • Be prepared for the audience to ask a few questions.
  • Check all hyperlinks included in your slides.
  • Avoid the following color combinations: green/red, green/brown, blue/purple, green/blue, light green/yellow, blue/grey, green/grey, or green/black.

Don’ts:

  • Use hand-drawn materials.
  • Utilize shades of gray in your presentation.
  • Copy and paste pages from your abstract.
  • Use bright red, blue, and/or green at the same time.
